Can I update my digital menu prices easily?
How updates work
Digital menu boards use a content management system (CMS) to control what's on screen. You log in to the CMS from any device, find the item, type the new price, and save. The screen usually refreshes within seconds to a few minutes, depending on your setup.
Some systems let you schedule price changes in advance, like happy hour pricing that starts at 4 PM. Others support multiple screens or locations, so you can update one menu or all of them at once. The ease of updating is one of the main reasons restaurants switch from printed boards.
- Cloud-based CMS: update from anywhere with internet
- Local USB or network: update on-site via a computer
- Scheduled changes: set prices to change at specific times
- Multi-screen sync: update all screens with one edit
What to check before you buy
Not all systems are equally easy. Some older or budget systems require you to edit a file on a USB drive and plug it into each screen. That's still easier than reprinting a board, but not as fast as a cloud CMS.
If you have multiple locations, look for a system that supports remote updates and user permissions. You don't want a staff member accidentally changing prices. Also check if the CMS is included in the price or costs extra monthly.
Common mistakes
- Assuming all digital menu boards update instantly; some require manual file transfers.
- Forgetting that you may need to pay a monthly subscription for the CMS.
- Not training staff on the CMS, leading to delays when you need a quick price change.
